Why use templates?
Templates help your team move faster without compromising brand consistency. Instead of building content from scratch, you can use pre-approved layouts that reflect your brand’s identity, ensuring every page, overlay, or block feels cohesive and professional.
✨ Here are a few examples of how templates can be used:
-
Your brand team creates a multi-page sales enablement Doc template that includes a cover page, product overview, case studies, pricing, and contact details. Sales teams across different markets can duplicate this template to create localized versions.
-
The recruitment team builds a page template for job postings, including sections for the role description, benefits, and application instructions. Now, HR teams can generate polished job pages in minutes, maintaining a consistent structure and tone.
-
The content team saves a testimonial block with branded design, star icons, and quote styling. Other teams can drag this block into any Doc to showcase client feedback, ensuring a consistent visual presentation of social proof.
Where to manage templates: Brand Console or Workspaces
You can create and manage templates in two places: the Brand Console or individual workspaces. Where you create your templates depends on how much control or flexibility your team needs.
💡 Not sure where to manage your template? We recommend managing your templates in the Brand Console for better visibility and control.
⚙️ Brand Governance Settings
Your brand governance settings control whether templates can be created in workspaces or only in the Brand Console. Admins and Designers with access can choose to allow or restrict template creation at the workspace level.
Brand Console — for centralized control
Create and manage templates from the Brand Console when you want tight control over your templates and designs. For templates in the Brand Console:
-
Only company-level Admins and Designers can access the Brand Console
-
Templates created here can be assigned to one or more workspaces
-
Workspace users can use these templates, but cannot edit them
➡️ Use the Brand Console when:
-
You want tighter control over the templates that are created across your entire company
-
You have a central design team managing templates
-
Templates need to be shared across multiple (or all) workspaces
💡 A centrally managed template gives you full oversight and control as your content creation scales across multiple teams.
Workspaces — for localized flexibility
Create and manage templates from individual workspaces when you want each workspace to have full flexibility and autonomy over its templates:
- Workspace-level Admins, Designers, and Publishers can create and edit templates within their workspace
- Templates are available for use only in that workspace
- Templates are labeled by origin - either Brand Console or Workspaces
➡️ Use the workspaces when:
-
Each regional or functional team is responsible for its own content.
-
You want teams in different workspaces to create local variants of a template.
-
Workspaces need to create templates quickly, without central oversight
How to create a template
You can create templates in two ways: either by saving existing content or by starting from scratch.
📖 For step-by-step instructions, read our quick guide: How to save a template
From existing content
If you’ve already created a Doc, page, overlay, or block that you’d like to reuse, you can save it directly as a template from the dashboard or the editor. This is perfect for capturing your best work and making it available for others to build on.
⚠️ Do you want to save your template to the Brand Console? After creating your template, follow the steps below to move it to the Brand Console.
From scratch
You can also create new templates from the Brand Console or your workspace by starting with a blank canvas. Choose your content type (Doc, Page, Overlay, or Block), configure the settings, and build out your layout in the template editor.
Duplicate or move a template
You can duplicate templates and move them between workspaces or to the Brand Console. This is useful if you want to:
-
♻️ Reuse a template in a different workspace
-
🏢 Move a template from a workspace to the Brand Console for centralized management
-
↔️ Move a template from one workspace to another
To duplicate a template, first navigate to the template you want to copy or move. Click the quick actions menu (⋮) on your template and select Duplicate.
If needed, rename the template. Set the status to either Public or Draft.
Under Workspace, choose where to copy the template. You can choose either the Brand Console (recommended) or specific workspaces. Click Duplicate.
💡 Only Admins or Designers with access to the Brand Console can move the template to the Brand Console.
💡 To manage your template centrally, duplicate it to the Brand Console. You can then assign it to your workspace(s).
After duplicating, your new template will appear in the destination you selected. If applicable, delete the original template.
⚠️ If you want to move a template to the Brand Console or another workspace, don't forget to delete the original template. If you do not, workspace users will still be able to use the original, leading to confusion.
Assign your template to workspaces
Templates created in the Brand Console must be assigned to workspaces so they can be used.
Open the Brand Console and go to the Templates tab. Click the quick actions menu (⋮) on your template and select Assign to workspace.
At the bottom of the template thumbnail, you can see how many workspaces have access to the template. Clicking here will also take you to the Assign to workspace window.
Choose specific workspaces from the dropdown or enable the option to assign the template to all current and future Workspaces. Click Save.
Managing your templates
From the Templates page in either the Brand Console or a specific workspace, you can manage and view your templates.
You can search or filter to help you find your templates:
-
Use the search bar to search for a template by name
-
Quickly filter on template type to narrow your results by Doc, Page, Overlay, or Block
-
Use the additional filters to filter by status, category, or workspaces (Brand Console only)
Quick Actions
Click the quick actions menu (⋮) in the bottom right corner of your template to view the options:
-
Edit: Choose this option to open the template editor.
-
Preview: This allows you to view your template outside the editor, helping you see how it will appear before making your template public.
-
Settings: In the settings, you can adjust the name, choose a content type, change the status, or assign categories.
-
Duplicate: To make a copy of your template, click duplicate.
-
Assign to workspace: This option will only be visible in the Brand Console and allows you to assign your template to workspaces. Once assigned, the selected workspaces will have access to your template.
-
Delete: Choose this option to delete your template permanently. Once you’ve deleted a template, it will no longer be available in the editor.
Setting a status
Under the template settings, you can set the status of your template to determine if it should be available for use by others:
-
Public: Choose this option if your template is ready for use. This will make your template available to all members in the assigned workspace(s).
-
Draft: Choose this option to continue editing your template before it can be used.
Setting a category
Under the template settings, you can set the categories of your template to better organize all your templates. Choose from one of the available options in the dropdown or type to create a new category. You can add one or multiple categories.
