About the new Foleon dashboard

New in Foleon _ September 2024 _ New Dashboard

We’ve been working hard to deliver a future-proof dashboard that is re-structured to handle modern content production's speed, volume, and governance needs. It doesn’t just look better: it’s faster, more intuitive, and built with features to help you scale operations while maintaining brand consistency and control. Don’t worry, all of your content is still where you left it.

Most important changes ✨

  • We’ve moved account settings to the Admin Console ⚙️
Admins now have a dedicated space to manage account-wide settings. The Admin Console on the left navigation bar allows you to manage workspaces, users, domains, and company-wide settings all from one central location.

  • Users vs. Members Pages 👥
User management is now more streamlined, with separate pages for users and members. Admins can centrally manage all users from the users page in the Admin Console. Under each workspace, you'll see a new members page—this shows a read-only overview of all users with access to that workspace.

The details 🔍

By restructuring your dashboard, we want you to be able to experience content creation and management in a more intuitive and streamlined way. Your new dashboard features:

  • Centralized governance over settings, branding, members, and permissions, ensuring smooth, compliant operations.
  • Scalable asset production with company-level controls and templates tailored to teams or departments.
  • An intuitive experience that makes content creation and management easier than ever!

Let’s explore the details of your new dashboard and what you need to know before getting started.

Admin Console ⚙️

All your account settings have been moved to the Admin Console. This is a dedicated space for company-level admins to manage users, workspaces, domains, and other key settings from one central environment. From your Admin Console, you can:

Brand Console 🎨

The Brand Console is the central hub where designated Admins and Designers manage and distribute brand assets across workspaces. With centralized brand management, teams can create content more efficiently and at scale without risking any brand inconsistencies.

From the Brand Console, you can create Brand Kits and assign them to one, multiple, or all workspaces. Workspace members can use the Brand Kits in their Docs but cannot edit them, ensuring full brand control.

The Brand Console will soon support other assets, such as Doc templates, for even greater governance and efficiency.

    Workspaces 🎯

While workspaces aren’t new, the redesigned dashboard enhances their functionality. Workspaces are now at the center of your operations, providing structure and clarity as you scale. With workspaces, you can:

    • Organize content and workflows by team, department, or project.
    • Give each workspace specific access to tools and templates for better governance.
    • Maintain clear boundaries between workspaces while keeping everything centralized for admins.

On the left navigation bar, you'll see a menu item called workspaces. If you have access to multiple workspaces, select your workspace from the dropdown list. Under each workspace, you can manage all of your content and see who has access under members.

⚠️ The number of workspaces you can create depends on your plan. If you’re interested in additional workspaces or want to upgrade your plan, contact us here.

    Other Improvements 🚀

We've launched other improvements to make navigation more intuitive and streamlined:

    • Access your Profile Settings and Plans & Billing: Your profile page, plans & billing information, and log-out button have all moved to the top right of your screen for easy access. Click your name and choose an option from the dropdown list.
    • See your Project and Docs in a List View: In the old dashboard, you only saw a grid view of your Projects and Docs with large thumbnails. You can now display your content in a list view. This allows you to see more information on all of your Projects and Docs more easily. Add filters and manage columns to make the page fit your needs.
    • Quickly Review Doc Information: Click settings in the quick actions menu to quickly change the name of a Doc or review details, such as when the Doc was first published.
    • Easier navigation between projects: We've introduced breadcrumb navigation to make navigating between projects easier. While clicking through your projects and Docs, you'll see where you are in the navigation, allowing you to return to your home or project pages easily.

    Frequently Asked Questions (FAQs)

What's the difference between users and members?

To access Foleon, a person must first be added as a user in the Admin Console. When creating or editing a user, you select the workspaces they can access. Once a user is assigned to a workspace, they become a member of that workspace.

    • Users: Anyone with access to Foleon is a user. Users are added and managed via the Users page in the Admin Console.
    • Members: A member is a user assigned to a specific workspace. Members appear on the members page under each workspace. This page displays all users with access to that workspace.

For example, when a new team member joins your company, an admin adds them as a user in the Admin Console. The admin assigns them to the appropriate workspace(s), making them a member of those workspaces.

Why is user management essential for teams?

Foleon makes user management easier with advanced role assignments and centralized controls. Here’s how it helps:

    • Assign specific roles with limited permissions: Ensure users only access what they need to complete their tasks efficiently.
    • Streamline onboarding: Quickly and securely add new members to the right workspaces with the correct access.
    • Reduce errors and inefficiencies: Align user access with their responsibilities to prevent mistakes and bottlenecks.
    • Centralized admin control: Manage all users and roles in one place, making adjustments fast and easy.

    What makes workspaces a game-changer?

Workspaces help you scale operations while staying organized and in control. By organizing teams, departments, or activities into distinct spaces, you can:

    • Equip teams with the right tools and templates: Provide tailored assets to each team while keeping everything centralized.
    • Maintain brand consistency easily: Share a Brand Kit across all workspaces to ensure every project stays on brand.
    • Eliminate confusion by separating workflows: Dedicated workspaces keep projects organized and reduce the risk of errors or overlap.
    • Streamline settings and domain management: Assign unique domains and ensure settings meet data privacy and brand standards, avoiding misconfiguration.

⚠️ The number of workspaces you can create depends on your plan. If you’re interested in additional workspaces or want to upgrade your plan, contact us here.

How does centralization drive better collaboration?

With Foleon, you can scale your team or content production without losing control. Centralized workspace management helps you:

    • Stay compliant with branding and security policies: Keep projects aligned with company-wide standards so no details are overlooked.
    • Tailor workflows for teams and departments: Enable teams to focus on their strengths with customized processes.
