What is personalization in Foleon?
Personalization is customizing Foleon Docs to suit a visitor's profile or preferences. Instead of a one-size-fits-all approach, it aims to make your content more tailored and relevant. This comes with benefits:
- Engagement 🤝
The more relevant your content, the more likely your audience will pay attention. When your audience is presented with content that speaks to them, they will spend more time in your Foleon Doc — increasing chances of conversion. - Efficiency 📈
You don’t need to create a separate Foleon Doc for each person or company you want to address. Send out personalized versions of your Doc without altering your valuable original asset.
As an example, we’re creating a sales proposal. To make a lasting impression, we want to wow the visitors by addressing them personally as they land on the first page. As you can see below, we’ve personalized a Foleon Doc, especially for Richard and Douglas.
There are many forms of personalization out there. In this article, we describe how you can personalize content using text properties.
📖 Check out our overview here for more personalization options!
How to personalize a Doc using text properties
In three easy steps, we show you how to personalize content using text properties, leaving a lasting impression on your visitor. Follow our written guide below the video.
👀 We recently updated our dashboard! You might notice that the dashboard in the video below doesn't match what you see on the platform. The video still walks you through the relevant steps for personalizing your Doc. Refer to the text below for the updated screenshots.
Step 1: Create a property in the Dashboard
Open your dashboard, navigate to your workspace, and go to the personalization page.
Click + Create new property.
Properties are used to create personalized versions of your Foleon Docs.
💡 Only users with the admin or designer role can access the personalization settings.
Fill in the following fields:
- Property name: Give your property a name. A typical example here would be First name or Company name.
- Property alias: The unique identifier of a property. This is auto-generated based on the property name but can be modified.
- Category: Choose from either contact or company to categorize your property.
- Field type: Select text as the field type
- Default value: Enter the text you'd like to show when the personalization data is missing.
Click create. Navigate to projects and open the Foleon Doc you want to personalize.
Step 2: Add a property to your Foleon Doc in the Editor
As an example, we’re creating a sales proposal. To make a lasting impression, we want to wow the visitor as they land on the first page by addressing them personally.
Make sure you have a text element that leaves space for a first name.
Place your cursor in the text element. In the text editing bar, click personalize.
Select the First name property we created in the dashboard from the dropdown and click insert. We’ll use the property’s default value, just in case any personalization data is missing.
You’ll now see the property in your text element, but it’s not yet personalized.
Step 3: Publish and personalize your Foleon Doc
Once your Foleon Doc is finalized, (re)publish your Doc. After publishing, you are ready to personalize your Doc!
Click menu > personalization > generate URL
💡 If you'd like to review your doc before personalizing, select preview. This allows you to see how your personalized properties will appear in the Doc. Once you're ready to generate the personalized URL, change the toggle on the top of the screen to generate URL(s).
With First name as the property, we want to address a woman named Sarah in our sales proposal. In the first name field, we enter “Sarah”. Next, click generate URL.
If you have multiple personalization properties in your Foleon Doc, they’ll be visible here.
You’ve now generated a personalized Doc URL that you can send to Sarah. Copy it to your clipboard and send the proposal to her in a personalized email, for example.
💡 If you want to create another personalized Foleon Doc, click close. You can edit the personalized fields again and generate another URL.
Do you want to personalize your Doc for multiple contacts quickly?
You can personalize Foleon Docs in batches by uploading a CSV file that matches your personalization properties. This allows you to generate a list of personalized Docs for hundreds of contacts in just a few minutes.
📖 For detailed instructions on how to personalize your Doc in batches, read our article: Personalize Docs in batches (CSV)
Edit or archive a property in the Dashboard
Editing a property:
You can only edit a personalization property if it’s not currently used.
Once a property has been added to a Foleon Doc, some fields become locked:
- ❌ You cannot change its Alias, Category, or Field type
- ✅ You can update the Property name or Default value
Archiving a property:
You can’t delete a property, but you can archive it to remove it from your list.
To archive a property, go to the Personalization tab in your dashboard and click the archive icon next to the property you want to remove.
⚠️ Before archiving, you’ll need to remove or replace the property in any Foleon Docs where it’s used. You won’t be able to archive it until this step is complete.
You can restore an archived property anytime by clicking the restore icon.
Why archive instead of delete?
Every property must have a unique alias that is used in our database. Deleting a property could cause issues in the database or with Foleon Docs. That's why we use archiving — a form of soft deletion.
⚠️ If you try to create a new property with the same alias as an archived one, you will receive an error. To continue, edit the alias to a unique value before saving.
Personalizer role
The personalizer user role can personalize a Foleon Doc without editing content or design. You can use this role to empower anyone to quickly personalize Docs.
⚠️ The personalizer role is only available for select plans. If you're interested in adding personalizers to your account, contact us here.
Personalizers have the following permissions:
✅ Access personalization mode
✅ Enter values for personalization fields
✅ Select personalized images from the media library
❌ Cannot create, edit, or delete any content
❌ Cannot upload media to the media library
How to add a Personalizer
Admins can add a new personalizer by inviting them as a new user. When selecting the new user's role, select personalizer from the dropdown.
Personalization analytics
In your Foleon Analytics report, you can track the performance of personalized Foleon Docs. Check the number of page visits and how long a visitor spent in their personalized Doc.
Hover over the token to learn the values of the properties you've inserted into your Foleon Doc — e.g., First name = Tom and Industry = Healthcare.
